New College Phone System Launches June 11

As you may know, LITS will be replacing the College’s 25+ year-old telephone system this spring. We will be making this change on the weekend of June 8-10, 2018. During this time, the College’s phone service will be unavailable. Beginning June 11, you will use your new phone and interact with the new phone system.

You can expect to have a new phone on your desk in late May; we will work to minimize disruption as we place and test new hardware.

Between now and launch, you’ll hear from us regularly with specific information about our timeline, phones, system features, and learning opportunities.

We’re excited to offer the College community a robust and contemporary phone service with new, frequently-requested features such as modern phones, improved voicemail, mobile apps, and options for having your Bryn Mawr extension travel with you.

Our Process So Far

Since last February, staff and faculty in a variety of roles have helped us to identify requirements for the new system in targeted discovery meetings, open forums, and system demos. Our proposal was approved by senior staff in May 2017. Since then we’ve contracted with a local vendor, done additional discovery and detailed project planning, and made substantial infrastructure upgrades in preparation for this spring’s implementation. Meanwhile, Facilities has assessed the new system’s power needs in campus buildings. Contracted electrical work will begin later this spring, continuing through 2018 and possibly into 2019.

Why is this important?

Replacing the College’s telephone system involves substantial change. New technologies offer opportunities for improved and expanded services that are not possible with our current system. Many of our administrative and academic offices have complex call coverage that may need to be recreated or adjusted in the new system, and there are many online and mobile options that will be useful to anyone using the College’s phone service while away from their desk or off-campus. Finally, we will also have a new voicemail system!

The primary reason to replace our phone system proactively is to mitigate the risk of losing our current service due to hardware failure. If our current system failed irreparably, which is increasingly likely due to its age and the scarcity of replacement parts and external support, we would no longer be able to use campus telephones, or phone lines for life safety equipment such as fire alarms and emergency phones.
