Update on May 2016 transition to new email/calendar service

Dear Bryn Mawr Community Members,

As we announced last spring, LITS has launched a project that will lead to migrating our College email and calendar services from Zimbra to either Google Apps for Education or Microsoft 365 after Commencement in May 2016. This project will make support of this critical service sustainable, as well as provide access to a broader, more mobile-friendly set of tools.

Interested faculty, staff, and students are invited to share email/calendar needs and priorities with us in open forums on the following dates:

  • Monday, September 21, at 4pm Dalton 119
  • Tuesday, September 29, at 4pm in Dalton 119

If you cannot attend the open forums, you are welcome to share your thoughts with members of the project team via our feedback form.

We also invite you to subscribe to updates on the project’s progress.

Next, we would like to update you on our progress and the timeline for this fall.

Over the summer, we have:

  • Established high-level criteria by which the options will be assessed.
  • Reviewed our community’s current use of Zimbra features and compared these to features available in Google and Microsoft’s services.
  • Spoken with peer institutions (Haverford, Bucknell, and others) about their experiences with these two leading services.
  • Compared licensing, support, and other associated costs of each service.
  • Met with vendors to discuss the costs and process of migrating our data from Zimbra.
  • Discussed email and calendar needs with a representative group of staff who use these tools heavily.

During the early fall, we plan to:

  • Engage with faculty and students regarding their email and calendar needs and wishes. We’ll be asking some of you to speak with us one-on-one or in small groups, and invite anyone who is interested to participate in the open forums mentioned above.
  • Solidify our requirements based on input from the community.

During the late fall, we plan to select a service and then turn our attention to the work of preparing for the transition.
