Important Information Prior to Office 365 Launch 5/22

Bryn Mawr College’s email and calendar platform will change from Zimbra to Office 365 the weekend of May 21, 2016. We have a number of important things to share with you – please read on for instructions.


Email and Calendar will be unavailable from 5:00 p.m. on Friday, May 20 through 9:00 a.m. on Sunday, May 22. We expect all mail, mail folders, calendar events, and contacts to migrate to Office 365.

DAY 1 – Accessing Your Email and Calendar

You’ll access your new Office 365 email and calendar by navigating to Log in with your full address and College password.

Actions Required Before and After Migration

  • Briefcase files will not migrate. If you have files saved to Briefcase, download them before Friday, May 20.
  • Contact Groups will not migrate. You will need to manually re-create them in Office 365.
  • Filters will not migrate. Make note of any you may want to re-create as Rules in Office 365.
  • Turn off any mobile device syncs before 5:00 p.m. on May 20. Re-sync your Bryn Mawr email and/or calendar after migration and lock your mobile device with a passcode.
  • Signatures and Auto-reply/out-of-office messages will not migrate. You will need to re-create them in Office 365.
  • If you have shared mail folders or calendars, you will need to re-share them after migration.
  • Preferences including changes to your display name, forwards, and other settings will not migrate.

New Behaviors to Expect

  • Office 365 is different from Zimbra in many ways. We encourage you to take a bit of time after launch to familiarize yourself with the interface and adjust your Settings to customize your experience.
  • You are now able to self-restore deleted mail. Simply right-click on your Deleted Items folder and choose Recover deleted items. Deleted items remain in the folder for 30 days, and are available to self-restore for an additional 30 days. Please note that LITS is unable to do email restores in Office 365.
  • Microsoft refers to Office 365 as an “Evergreen Service”. Menus, features, and the service’s overall appearance will change over time as a result of gradual improvements. Documentation and other resources may not always match your current experience exactly.

Known Migration Issues

  • You may notice that messages you recently deleted or moved in Zimbra have reappeared in your Office 365 inbox. This is a result of migration and will not recur. Please move or delete these messages again.
  • If you used Zimbra Calendar and frequently scheduled and rescheduled recurring (series) meetings, check to make sure times, dates, and invitees are appearing as expected. We have noticed that some exceptions to recurring meetings have not migrated correctly in our pilot.
